Total Well Connect ("TWC," "we," "our," "us") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect your information when you use our website, membership platform, tools, digital library, community, and related services (collectively, the "Services").
By accessing or using the Services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.
1. Who We Are: A Network, Not a Provider
Total Well Connect is a membership network. We connect our members to a curated directory of independent third-party partners — including functional medicine and telehealth providers, a licensed insurance agency, compounding and pharmacy partners, lab and diagnostic services, and other wellness resources — along with member tools, educational content, a digital library, and a private community.
This distinction matters for your privacy:
TWC is not a healthcare provider, medical practice, pharmacy, insurer, or insurance agency. We do not provide medical care, prescribe, diagnose, dispense medication, or sell or administer insurance.
Our network partners are separate, independent companies that operate under their own privacy policies and terms. When you choose to engage a partner (for example, by booking a consult, requesting an insurance quote, ordering labs, or starting a program), the information you share directly with that partner is governed by that partner's privacy practices and applicable law — not this Policy.
Some partners (such as licensed medical and telehealth providers) may be subject to additional laws, including the Health Insurance Portability and Accountability Act ("HIPAA") and state medical-privacy laws. TWC itself is generally not a HIPAA-covered entity, and we do not receive or store your protected health information from those providers unless separately and clearly disclosed to you.
Nothing we provide is medical, professional, or insurance advice. The Services — including our content, tools, calculators, digital library, educational materials, and community discussions — are provided for general informational and educational purposes only. They do not constitute medical, health, diagnostic, treatment, legal, financial, tax, or insurance advice, and they are not a substitute for professional care. Always consult a qualified, licensed professional before making decisions about your health, medications, treatments, or coverage. Any action you take based on the Services is at your own discretion and risk.
We encourage you to review the privacy policy of any partner or external site before sharing information with them.
2. Information We Collect
A. Information You Provide
When you create an account, purchase or manage a membership, use our tools, or participate in the community, we may collect:
Name and contact details (email address, phone number, and, where provided, mailing address)
Account credentials, username, and profile information
Billing and transaction details (payment card numbers are not stored by us — see below)
Messages and communications you send to us
Content you submit in community areas (posts, comments, questions, replies)
Preferences, interests, and survey or form responses you choose to share
Payments. We do not store your full payment card number. Payments are processed securely by third-party processors such as Stripe, PayPal, Squarespace Payments, or comparable services, under their own terms and privacy policies.
B. Information Collected Automatically
When you use the Services, we and our analytics/technology providers may automatically collect:
IP address and approximate (general) location
Device type, browser type, and operating system
Pages viewed, links clicked, referring/exit pages, and time spent
Cookie identifiers and similar tracking data (see Section 7)
C. Information From Third Parties
We may receive information about you from:
Analytics providers (such as Google Analytics)
Payment processors
Email and SMS marketing platforms
Advertising, referral, and affiliate-tracking partners
Social media and integration tools
AI service providers that help power chat, search, or content features
We use this information to operate, secure, and improve the Services and to manage memberships accurately.
D. Sensitive Information
You may choose to share information that reveals health-related interests, conditions, or goals — for example, when you use a tool, fill out a form, or post in the community. Please share only what you're comfortable making known. We do not require you to provide health details to use core membership features, and we ask that you not post sensitive personal or medical information in public community areas. Where applicable law treats certain data as "sensitive," we handle it consistent with Section 9.
3. How We Use Your Information
We use your information to:
Create, manage, and secure your account and membership
Process payments and manage billing
Provide access to content, tools, the library, and the community
Connect you with the network partners and resources you request
Send service messages, updates, educational content, and (with your consent where required) promotional communications
Respond to inquiries and provide support
Analyze usage and improve performance, functionality, and user experience
Detect, prevent, and address fraud, abuse, security incidents, and unauthorized activity
Maintain community safety and enforce our terms
Comply with legal obligations
We process your information based on your consent, our legitimate business interests, the performance of our contract with you, and/or compliance with law, as applicable.
4. How We Share Your Information
We share information only as described here:
Service providers / processors who operate the platform on our behalf — hosting and website builders (such as Squarespace or comparable tools), payment processors, email/SMS providers, community software, analytics, customer support tools, and AI service providers. These providers receive only what is necessary to perform their services and are contractually required to protect it.
Network partners you choose to engage. If you ask us to connect you with a partner, or click through to one, we may share or pass along limited information (such as referral or contact details) needed to facilitate that connection. From that point, your interaction is governed by the partner's own privacy policy.
Legal and safety. We may disclose information when required by law, subpoena, court order, or legal process, or to protect the rights, safety, and property of TWC, our members, or others.
Business transfers. If TWC is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to this Policy.
We do not sell your personal information for money. See Section 9 regarding "sharing" for cross-context advertising and your opt-out choices.
5. External Links & Affiliate Partners
The Services contain links to third-party companies, products, and services. These companies operate independently, and their privacy practices are not governed by this Policy.
When you click an external link:
you are leaving TWC;
your information may be collected by the external site under its own policy; and
any purchase, booking, consult, or enrollment is governed solely by that company's terms.
TWC earns commissions from some affiliate links. These links generally involve only standard analytics and referral/click tracking and do not transfer your account information to the partner unless you choose to provide it.
6. Cookies & Tracking Technologies
We and our providers may use cookies, web beacons, pixels, tracking scripts, and analytics tools to:
remember preferences and maintain secure sessions
understand traffic and usage patterns
measure and improve performance
support referral, affiliate, and (where applicable) advertising measurement
You can disable cookies in your browser settings, though some features may not function properly. Where required, we honor browser-based opt-out preference signals, including the Global Privacy Control (GPC), as a request to opt out of "sale"/"sharing" for the browser or device that sends the signal.
7. Data Retention
We retain your information for as long as your account is active or as needed to:
provide the Services
comply with legal, tax, and regulatory obligations
resolve disputes and enforce agreements
maintain reasonable business records
When information is no longer needed, we delete or de-identify it. You may request deletion at any time (see Sections 9–10).
8. How We Protect Your Information
We use reasonable, industry-standard technical and administrative safeguards, including encrypted payment processing, secure hosting, access controls, password-protected systems, and monitoring for suspicious activity.
However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
9. Your Privacy Rights & Choices
Depending on where you live, you may have some or all of the following rights regarding your personal information:
Access / Know — request the categories and specific pieces of personal information we hold about you.
Correct — request correction of inaccurate information.
Delete — request deletion of your account and personal information.
Portability — request a copy of certain information in a portable format.
Opt out of "sale" or "sharing" for targeted/cross-context behavioral advertising.
Limit use of sensitive personal information to what's necessary to provide the Services.
Withdraw consent to marketing emails or SMS at any time.
Appeal a denied request (where state law provides an appeal right).
State-specific notes. Residents of California (CCPA/CPRA), Texas (Texas Data Privacy and Security Act), Virginia, Colorado, Connecticut, Utah, Oregon, Montana, and other states with comprehensive privacy laws may exercise the rights above to the extent those laws apply. We do not discriminate against you for exercising your rights. If we deny a request, you may appeal by contacting us at the address in Section 14; if you believe your appeal was wrongly denied, you may contact your state Attorney General.
California "Do Not Sell or Share / Limit" requests and other opt-outs can be submitted using the contact methods in Section 14, or via the GPC signal described in Section 6.
EU/EEA/UK users. If you access the Services from a region governed by the GDPR or UK GDPR, you may have additional rights, including the right to object to or restrict processing and to lodge a complaint with a supervisory authority. Where we transfer data internationally, we use appropriate safeguards.
10. How to Exercise Your Rights
To make a request, contact us using the information in Section 14. We will verify your identity before fulfilling certain requests and will respond within the timeframe required by applicable law. You may use an authorized agent where permitted.
11. Community Content & User Responsibility
Information you voluntarily share in community areas — including posts, comments, questions, and messages — may be visible to other members. You are responsible for what you choose to share, and we encourage you not to post sensitive personal or health information publicly. TWC is not responsible or liable for how other users use information you make available in community areas.
12. Children's Privacy
The Services are intended for individuals 18 and older. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a minor, we will delete it promptly. If you believe a minor has provided us information, please contact us.
13. SMS / Text Messaging
By providing your mobile number and opting in, you consent to receive SMS/text messages from Total Well Connect. These may include membership updates, appointment or program reminders, wellness content, educational information, and promotional offers related to our Services.
Message frequency varies. Message and data rates may apply.
You can opt out at any time by replying STOP or OUT to any message.

Opting out of SMS does not opt you out of email or other communications.
We do not share, sell, or rent your mobile phone number, or any information collected through our SMS program, to third parties for their own marketing purposes. Mobile opt-in consent and consent data are not shared with third parties except as needed to deliver the messaging service.
